Cancellation & Refund Policy

How to cancel your Varthaanam subscription, what happens when you do, and the circumstances in which we will refund you — including the refunds we guarantee regardless of any general "no refund" rule.

Last updated: 5 October 2026

This Cancellation & Refund Policy ("Policy") governs subscription cancellations, plan changes and refunds for the Varthaanam platform, website, mobile applications and related services (together, the "Services"), operated by Capreact Private Limited.

This Policy forms an integral part of our Terms and Conditions and should be read together with them and with our Privacy Policy. By subscribing to the Services you agree to this Policy.

1. Subscription plans

  • Varthaanam is offered on a subscription basis.
  • The price is the one published on our pricing page at the time you subscribe.
  • The billing cycle is the one you select at checkout.
  • Subscription fees are charged in advance at the start of each billing cycle.
  • Every plan includes a 14-day free trial. You are not charged during the trial, and you can cancel before it ends at no cost.

2. Cancellation

2.1 How to cancel

You may cancel your subscription at any time:

Cancelling is as easy as subscribing. We do not require a phone call, a retention conversation or a notice period.

2.2 Effect of cancellation

  • You keep access to the Services until the end of the billing period you have already paid for.
  • No further subscription charges are applied after that cycle.
  • Cancellation does not, by itself, produce a partial or prorated refund — see section 3.
  • At the end of the period, connected channels are disconnected and their access tokens deleted.
  • Your data is then handled as described in the Privacy Policy. Export anything you need before cancellation takes effect.

3. Refunds

Fees are generally non-refundable, but that general rule is subject to the guaranteed refunds in section 3.2 and to your statutory rights, which we do not attempt to exclude.

3.1 What is not normally refunded

Outside the circumstances in section 3.2, we do not refund:

  • partial use of a billing period;
  • failure to use the Services;
  • early cancellation;
  • dissatisfaction with a particular AI suggestion where the Services otherwise worked as described;
  • ordinary feature changes or platform updates that do not materially reduce what you paid for.

3.2 When we will refund you

These exceptions override section 3.1 and any general "no refund" statement elsewhere in our documents.

  • Service not delivered. If we fail to provide the Services you paid for — because of a sustained outage, or because the Services never became available to you — we refund the affected period in full.
  • Duplicate or erroneous charges. Charged twice, charged the wrong amount, or charged after a valid cancellation: refunded in full, promptly.
  • Unauthorised transaction. A charge you did not authorise, once verified, is refunded in full.
  • Material misdescription. If the Services materially fail to match how we described them at the point of sale.
  • Material reduction of the Services. If we materially reduce or discontinue the Services you have already paid for, you may cancel and we refund the unused portion of your prepaid fees pro rata.
  • Statutory rights. Any refund required by a law that applies to you, including the Consumer Protection Act, 2019 in India and the 14-day right of withdrawal for consumers in the EU and UK described in section 3.3.

3.3 EU / UK consumers — 14-day right of withdrawal

If you are a consumer resident in the European Union or the United Kingdom, you have fourteen (14) days to withdraw from a distance contract for digital services without giving a reason.

Because we start supplying the Services immediately, we ask you at checkout to expressly request immediate performance and to acknowledge that you lose the withdrawal right once performance has begun. If you did not give that acknowledgement, your full 14-day right applies and we refund in full on request. If you did, you may still withdraw within 14 days in respect of Services not yet supplied, and we refund a proportionate amount.

3.4 How to claim, and how long it takes

Email varthaanam@gmail.com with your account email and the transaction reference. We acknowledge within 48 hours.

Approved refunds are issued to the original payment method within 7–10 business days of approval. Your bank's or card network's settlement times may add to this. Where we refund a charge, we refund the GST we collected along with it.

4. Chargebacks and payment disputes

You always retain the right to dispute a charge with your bank or card issuer. Nothing in this Policy limits that right, and we will not treat exercising it as a breach of contract.

  • We would rather resolve it directly and faster: contact varthaanam@gmail.com first and, where section 3.2 applies, we will refund you without needing your bank's involvement.
  • Where a dispute is raised, we may provide the payment processor with transaction records and evidence of service delivery, as the card network rules provide for.
  • We may suspend an account while a disputed balance is outstanding, and will restore access once the dispute is resolved in either direction.
  • We may decline to serve an account with a repeated pattern of disputes that our records show to be unfounded. This is not a penalty for disputing a charge, and we will explain our reasoning in writing if asked.

5. Failed payments and suspension

If a payment fails, access may be suspended until the outstanding balance is cleared. We will attempt to notify you before suspending, and we retain your data during a suspension so that restoring access restores your workspace intact.

6. Termination by us

We may suspend or terminate access for violation of the Terms, for prohibited or abusive use, or for legal or security reasons. Termination for cause does not entitle you to a refund of fees. If we terminate for our own convenience rather than for cause, we refund the unused portion of your prepaid fees pro rata.

7. Data and integrations after cancellation

7.1 Export your data first

You are responsible for exporting the content, conversations and reports you want to keep before cancellation takes effect.

7.2 Connected channels

On cancellation, connected accounts (WhatsApp, Messenger, Instagram, Gmail, custom email) are disconnected and their OAuth tokens and credentials deleted. Messages already delivered to your customers remain on those platforms and are governed by their policies.

7.3 Retention

We may retain account information and usage logs for legal, compliance and audit purposes, aggregated de-identified data for platform improvement, and billing records as tax and accounting regulations require. Everything else is deleted or anonymised in accordance with the Privacy Policy.

8. Discretionary refunds

Beyond the guaranteed refunds in section 3.2 and your statutory rights, we may issue a refund or account credit at our discretion. Such a decision is confirmed in writing and does not create an entitlement in other cases.

9. Taxes and third-party fees

Displayed prices are exclusive of tax unless stated otherwise on the pricing page. Indian GST is charged at the applicable rate and a GST invoice is issued for every payment. Currency conversion charges and bank or gateway fees imposed by your own bank are outside our control and are not refunded.

10. Changes to this Policy

We may update this Policy. Changes take effect on posting, and material changes are notified by email or in-app notice at least 7 days in advance. The version in force when you paid governs that payment.

11. Governing law

This Policy is governed by the laws of India. Jurisdiction for disputes is Bengaluru, Karnataka, subject to the dispute-resolution provisions in the Terms and Conditions and to the consumer rights preserved there.

12. Contact

For cancellation, refund or billing enquiries, contact Capreact Private Limited at varthaanam@gmail.com.
